An opportunity exists for an experienced personal assistant/administrator to oversee the day-to-day financial affairs for two beneficiaries of a private family trust.
The Opportunity
Reporting to the Trustees, the successful candidate will be responsible for payment of accounts, cash flow management, bookkeeping and supplier oversight across a portfolio of personal and trust interests. Duties span from routine bookkeeping and processing in Xero through to the planning and delivery of ad hoc projects, such as travel arrangements.
Key Responsibilities
- Providing practical support to the beneficiaries as required.
- Assisting with the Annual Budget and managing cash allocation against an agreed monthly distribution plan.
- Preparing management accounts and reports and maintaining accurate records in Xero.
- Managing creditors and debtors, including timely payment of invoices and collection of receivables.
- Ensuring properties, vehicles and other assets are properly maintained and insured.
- Engaging and managing contractors and suppliers on the beneficiaries behalf.
- Developing and delivering ad hoc projects as approved by the Trustees.
Candidate Requirements
- Demonstrated experience in financial bookkeeping and administration or some SME business management.
- Proficiency with Xero.
- A high standard of discretion, integrity and sound judgement, given the sensitive nature of the information involved.
- Must have a clean police and credit record and hold a full driving licence.
- Ability to work independently with minimal supervision and to identify and raise issues proactively.
- Strong written and verbal communication skills and the professionalism required to work closely with the beneficiaries over an extended period.
Terms of Engagement
- A competitive hourly rate, benchmarked to experience and market conditions, invoiced monthly.
- Hybrid working arrangement of approximately 6-8 hours per week plus weekly in-person visits to the Senior Beneficiary, and additional visits to the Trust properties as required.
- An ongoing, long-term contract engagement.
